How do I get a refund?

Please note that all refunds will only be made after the Conference.

Below are the terms and conditions which are applicable to your registration and accommodation.

Terms and Conditions applicable to accommodation

  • All accommodation rates quoted are per room per night, including bed, breakfast, tourism levy and VAT at 14%, and EXCLUDE dinner, lunch and any other costs incurred during your stay.  These costs are for your own account and payable on departure from the hotel.
  • All accommodation is booked on a first come, first served basis, subject to availability.
  • The Conference is being held during a peak period and as such accommodation is limited.  It is strongly recommended that accommodation be booked and paid for as soon as possible to confirm your reservation.
  • Accommodation booked must be pre-paid in full by 31 May 2016. All bookings thereafter are to be paid for on receipt of invoices.
  • No accommodation bookings can be confirmed or guaranteed without full pre-payment.
  • A maximum of two adults are accommodated in a sharing / twin hotel room.
  • Check in after 14h00 and check out at 10h00.
  • Please be advised that should payments incur bank charges both local and international, payee and Beneficiary, these charges WILL BE FOR THE DELEGATE'S OWN ACCOUNT. Full payment for these charges are required.

Cancellation Clause applicable to accommodation

  • All Accommodation, Travel, Tours and other arrangements are subject to alteration and cancellation at any time without prior notice, due to factors that are outside of the organisers reasonable control. This will be at the sole and absolute discretion of the organisers. Should such events, such as Force Majeure, render the organisers unable to deliver such service, the organisers shall not be held responsible. The organisers cannot be held responsible for any damages, and or costs, whatsoever arising from any such alteration or cancellation.

Cancellations and Refunds (Hotel Requirement):

  • 60 Days prior to the Conference date 50% cancellation fee applicable.
  • 30 Days prior to the Conference date 100% cancellation fee applicable.

Terms and Conditions (relevant to Registration)

  • Participants who cancel before 30th April 2016 will be entitled to a 50% refund of their registration fee. No refunds are possible for cancellations received after 30th April 2016.
  • Cancellations must be submitted in writing to the Conference Secretariat, c/o The Conference Company, in order to receive any possible reimbursement.
  • A participant who cancels may ask the Conference Secretariat to transfer the registration to a colleague. A fee of 10% of the registration fee is charged for replacements.
  • Refunds will be processed after the conference accounts have been reconciled and on receipt of a written request sent to the Conference Secretariat.
  • Refunds for no shows are not possible.
  • The early-bird registration fee will only be applicable to participants who register and pay prior to the early-bird cut-off dates mentioned. A participant who registers prior to the cut-off date and omits to pay, will automatically be charged the higher registration fee without prior notification.
  • Until payment has been received, registration for the Conference and any of its associated events cannot be confirmed and without confirmed registration, participants will not be listed in the programme or in the list of participants.
